Step-by-Step: How to Use Kakobuy QC Photos
Follow this process for every item before approving international shipment.
Place Your Order
Order items through Kakobuy using product links from the spreadsheet or your own research. Items are sent to the Kakobuy warehouse first before international shipment.
Items Arrive at Warehouse
You will receive a notification when your item arrives. This is your window to request QC photos before approving international shipment. Do not rush this step.
Request QC Photos
Go to your order in the Kakobuy app and request QC photos. The warehouse will photograph every angle of the item within 1-2 business days. Standard sets usually include 4-8 photos.
Inspect Carefully
Compare QC photos to the listing photos. Check logos, stitching, color, tags, materials, and overall proportions. Note any discrepancies, even small ones.
Approve or Reject
If everything matches your expectations, approve for shipping. If not, reject the item and open a dispute. Community members can help evaluate borderline cases.
Choose Shipping & Ship
Once approved, select your shipping line based on speed, cost, and your region's customs practices. Then submit your shipment and wait for the tracking number.

Run through this checklist for every item before approving shipment.
Logos & Text
Check font spacing, letter shape, and alignment. Misaligned logos are the most common QC fail.
Stitching
Look for even stitch lines, no loose threads, and clean seams around sleeves, collars, and pockets.
Colorway Accuracy
Compare under natural light. Minor variation is expected. Significant fading or wrong hue is a concern.
Tags & Labels
Internal tags should match the correct size, material, and care instructions for the specific item.
Material & Weight
If available, check the item weight. A too-light hoodie often signals downgraded fabric compared to the listing.
Proportions
Check that pocket placement, logo position, and overall dimensions match the listing photos and size chart.
Packaging
Check for any packaging damage, missing tags, or incorrect labels. Some items are shipped without original packaging.
Overall Impression
Take a step back. Does the item look like what you expected? If something feels off, it usually is. Trust your gut.
Beginner QC Mistakes to Avoid
Common mistakes new buyers make during the QC process.
Approving the entire haul without checking every item
Never approve the entire haul for shipment without reviewing every individual QC photo. One bad item in a large haul is still worth rejecting.
Not requesting extra photos for critical details
Standard QC photos may miss the sole of a shoe, inside tags, or back print. Always request extra photos for items where these details matter.
Relying only on community QC photos
Community QC photos are helpful references, but they are from a different batch. Always request your own QC photos regardless of what others received.
Not comparing to the listing photo
The most important comparison is between your QC photos and the listing photos you used to order. If they do not match, you have a reason to reject.
Not checking the weight
For items like hoodies and jackets, weight matters. If the item is significantly lighter than the listing claims, it may be a lower-tier batch.
Ignoring packaging damage
Packaging damage is sometimes acceptable, but missing tags or incorrect labels can be a sign of a wrong item. Do not ignore packaging issues.
When to Reject or Request an Exchange
Clear criteria for when to reject an item and open a dispute.
Reject the item if:
- The item is the wrong product entirely
- The size is incorrect despite ordering the right variant
- The color is significantly different from the listing
- Logo placement is wrong or badly misaligned
- Stitching is visibly poor with loose threads
- The item is damaged or stained
- The item is a different batch than what you ordered
Request extra photos if:
- The sole or bottom of a shoe is not shown
- Inside tags are not clearly visible
- Back print alignment is not shown
- Material texture is not clear in the photo
- The item weight is not provided
- You want to confirm a specific detail before approving
- The photo is blurry or poorly lit
What QC Photos Cannot Guarantee
Understanding the limitations of QC is just as important as knowing the process.
Future batch quality
QC photos document one batch at one point in time. The same seller may ship a different batch next week. Community photos are a reference, not a guarantee.
Durability or long-term quality
QC photos show the item when it is new. They do not show how the item will hold up after washing, wearing, or using it for a month. That is outside the scope of a warehouse photo.
Fit and sizing
QC photos show the item flat. They do not show how it will fit on your body. Always use the size chart and community size notes, not the photos alone, to judge sizing.
All color variants
If you order a different color or size from the community reference, the QC photos may not reflect your variant. Always request your own QC photos for every order.
Subtle material differences
Warehouse photos may not accurately show fabric weight or texture. If the listing mentions specific fabric weight, compare the stated weight to the actual item when possible.
Functionality
For items like bags, watches, or electronics, QC photos cannot confirm functionality. They only show external appearance. Functional issues are only discovered after receiving the item.
